The selected candidate will provide administrative support to the Vice President & Corporate Controller and to the VP of Tax, and will handle administrative functions for the Tax and Accounting Departments. Responsibilities include preparation of correspondence and reports, in addition to general administrative duties including travel arrangements and meeting planning. Ability to handle multiple tasks in a fast-paced environment is essential and the motivation to take initiative, be proactive and interact well with all levels of the organization is required. Pleasant, upbeat work style with can-do attitude is also important. Essential Functions • Provide telephone, typing, copying, filing, meeting and travel scheduling and other administrative support for VP of Tax & VP & Corporate Controller as required. Provide backup support for Executive Vice President, Chief Financial Officer and Executive Administrative Assistant. • Produce, edit, format, and copy Finance deliverables including: management training materials, policies, overheads, PowerPoint presentations and other such documents. • Coordinate Finance department meetings as needed including: issue information to attendees, arrange presentation room set-up, order special equipment and monitor event budget and schedule conference rooms and caterer. • Assist in planning and preparation of materials for Executive and Board of Directors Meetings. • Assist in the distribution of financial reports, including data analysis, copying and collating. • Perform various adhoc financial data queries and light financial analysis for Finance and Accounting Departments as needed. • Back up coverage to the Sr. Administrative Assistant of the Financial Planning & Analysis Group to coordinate and distribute monthly financial summary reports. • Back up coverage to the Sr. Administrative Assistant of the Financial Planning & Analysis Group to maintain corporate signature activity card file and update and issue related reports. • Independently screen and respond to e-mail, telephone and personal inquiries into Finance department and routes to appropriate individual. • Coordinate department travel scheduling and reservations and related filing of expense reports. • Proactively seek tasks within the Finance department during workload off-peak periods. • Perform miscellaneous administrative tasks and other clerical duties as required. • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. Minimum education requirements High School Experience required 5 - 7 Years Knowledge & skills (general and technical) Education High School diploma, required; Certificate or Associates Degree in Office Administration or Bachelor’s Degree, preferred. Experience with Oracle, including reporting, is also desirable.
Experience 3 - 5 years administrative experience with 5-7 years administrative experience in the Finance area preferred. Some light finance and accounting experience also desirable. Strong personal computer skills, accurate typing and grammatical and numerical skills are a must. Demonstrated proficiency with Microsoft Office including: Outlook, Word, Excel and PowerPoint. Other requirements (licenses, certifications, specialized training, physical or mental abilities required) Must be able to handle a high volume production environment. Must have an ability to prioritize workflow within set protocols and procedures; individual must be capable of working on many issues simultaneously and be detailed oriented. Must demonstrate understanding and support of Finance and corporate guidelines and policies.
